The new style of Embossing Seals offer a new ease of use while preserving the tradition and security of an embossed impression. It can emboss either by squeezing with your hand or placing on a desk and pressing down, much like using a stapler. Please remember that in Oregon an embossing seal can only be used in conjunction with your official stamp.

Journals & Record Books:

While not every notarial act is required to be recorded, we believe that for the notary’s protection every notarization should.

Primarily the thing to consider when selecting a notary journal is that it is a business record so you need to select a journal that works for you. Having a scenic book cover may be nice but your journal is not for showing off, it is a legal record that you maintain for your protection & compliance.

All our journals are bound with numbered pages and contain a place to record the date, time, type of notarial act, type of document, your signers name & address as well as their signature. They also have information in the front of the book about the procedures for notarizing, the different types of notarial and how to properly record your notarial acts.

So which journal works for you?

The Basic Journal of Notarial Acts:
This book has the traditional layout across both pages and twenty-one (21) entries down. It also contains a spot to record the document date and record how much you charged for your service. It comes spiral bound to lay flat and contains over 1,500 entries.

It is generally used in office situations where you are regularly notarizing for the same few people and the same types of documents.

The Standard Journal of Notarial Acts:
While each entry is also laid out across both pages of the book there are five (5) entries down but with more space for recordkeeping. Rather than always having to write in the type of notarization you simply fill in the number of which type(s) of notarization(s) you are doing. This book also has more space for recording the type of documents being notarized and an area for notes or any additional information you wish to record.

It comes spiral bound to lay flat and contains 300 entries.

Great for the notary who notarizes a variety of documents for a variety of people.

The A.N.S. Journal of Notarial Acts:
This book is designed to give the notary the most protection possible. Not only does it contain all the qualities of the Standard Journal it has three different statements that, depending on the notary language on the document, your customer signs giving you a record not only proving that they were there but what their intent of the signing is. When using this book properly you will have a record that your signer:
Signed the document of their own free will for the purposes stated in the document, Signed the document of the free will of who, or what, they are representing and that they are authorized to sign on that party’s behalf, or Signed the document and swore or affirmed their statement in the document are true.
It comes spiral bound to lay flat or perfect bound with a hard cover and contains 300 entries.

Created for the notary who values the importance of accurate & complete records.

Other Supplies:

While all you need to get started is your stamp and journal there are other items that can make you job easier.

Locking Journal Bag:
Deter fraud and be state compliant by securing your notary journal and stamp. Our gray, keyed, locking carrying case is large enough to hold your journal, stamp and training materials.

Notary Privacy Guard:
Prudent notaries keep a journal which contains client’s private information. Use of the Notary Privacy Guard® not only protects the client, but also protects the Notary Public by limiting client’s exposure.

Fingerprint Pad:
While not required in the northwest some notaries take comfort in recording the fingerprint of their signers. The Trodat fingerprint pads guarantee thousands of sharp-edged, durable and waterproof fingerprints on paper. The ink is dermatologically tested and can be removed by simply rubbing the fingers. And of course, Trodat fingerprint pads are free of hazardous substances.

Short Forms of Certificates:
For when you signer doesn’t have notary language on their document but knows what type of notarization should occur. Every notarization in every state requires complete notary language and we have them available in black ink on a Trodat stamp body.

  • Individual Acknowledgement
  • Representative Acknowledgement
  • Verification Upon Oath or Affirmation (AKA Jurat)
  • Witnessing or Attestation of a Signature

* In some states they can be fined or have their commission revoked for selecting or influencing the type of notary language used on a document. For this reason, a notary should always offer all the notary languages for their signers to choose from.

E&O Insurance:

As a notary public you have unlimited liability. Help protect your personal finances with Notary Public Errors and Omissions Insurance.
NOTARY ERRORS & OMISSIONS INSURANCE BENEFITS
No deductible! Covers defense costs!
Protects against errors and omissions.
Policy is available in either Individual or Group form.
Employers are covered under a group policy at no additional charge.
Additional notaries covered automatically under group policy, during current policy period.

What is Errors & Omissions Insurance?
It is an optional form of insurance that protects you in the event a claim is made against you. Errors & Omissions insurance coverage will pay for claims up to the limit of the policy. Attorney fees are included (up to half the limit of the policy) in the total amount of coverage. Claims for damages and attorney fees cannot exceed policy limit.

I only use my commission at work. Why do I need insurance?
YOU are responsible for payment of any claims made against you, not your employer. Even if your firm carries a professional liability policy it may not cover notarial acts and your employer may refuse to accept responsibility for your actions. Also, many claims are not filed until sometime after the act has taken place and the company policy may not cover you if you’re no longer employed with the company.

My company would like to provide coverage for all of us. How would that work?
Unlike the individual coverage, group policies do not need to name the employees to be covered. This policy is written based on the number of notaries on staff. It is billed to you on a yearly basis, with premium based on the number of employees acting as notaries at each renewal.

How can I make sure I’m protected?
You can sign up for Errors and Omissions coverage by clicking below to log in or create a profile where you can then order your insurance, selecting the coverage that is right for you.

How much does coverage cost?

INDIVIDUAL COVERAGE:

THIS IS A ONE-TIME PREMIUM FOR THE FOUR-YEAR TERM, WRITTEN IN THE NAME OF THE NOTARY. Please request if you wish for a policy to be prorated and end at the term of your commission.

$10,000.00$65.00
$15,000.00$85.00
$25,000.00$104.00
$50,000.00$208.00
$100,000.00$416.00

GROUP COVERAGE:

AN ANNUAL POLICY WRITTEN IN THE NAME OF THE COMPANY, COVERING

EMPLOYEES FOR NOTARIAL ACTS WHILE EMPLOYED.

Many employers make this choice because the policy only numbers, not names the notaries. This way if one person leaves and they are replaced no changes are needed to the insurance policy.

These are yearly premiums and the policy is only in effect if the premiums are paid.

To calculate your premium simply select the amount of coverage you want then multiply the number of notaries on staff with the per person premium.

Policy Amount# of Notaries Total Premium
$10,000.00__________x $16.25__________
$15,000.00__________x $21.25__________
$25,000.00__________x $26.00__________

FAQ

What is a Notary?
A notary is a third party, impartial, public officer whose duty is to identify a signer, take the signers statement and watch them sign the document. Every official act as a notary has legal implications.

Do I have to buy a Bond?
In Oregon, no but for your financial protection you may want to consider E&O insurance.

What is E&O Insurance?
Notary Errors & Omissions Insurance is optional protection for you. The policy can be used to pay the damaged party and half the policy limit can be used for your legal fees. Even notaries who are only using their commission for work should purchase one of the lower limit policies just in case they need to hire an attorney.

When can I get my notary stamp?
In Oregon you must, by law, provide a copy of your Certificate of Authorization to your stamp supplier before they manufacture & release your new stamp.

Do I have to keep a journal?
YES! Every state sets their recordkeeping requirements. In Oregon you must record all acknowledgments and witnessing of a signature. For your protection we encourage you to record all notarial acts, even verification upon oaths and affirmations. Using a journal helps insure that you follow the same procedures each time. It will give you a complete record of what you have done and help you in the event you need to recall the specifics of a particular notarial act.

Do I have to become a member of a notary organization?
No! While there are several organizations that offer informational services or notary products that you may find interesting, we recommend that you consider the value of a membership before spending your money. In most cases your questions about being a notary can be answered by reviewing the Oregon Notary Public Guide.

https://sos.oregon.gov/business/Documents/notary-guide/notary-guide.pdf

There is just a line for my signature and a line that says “Notary Public”. Can I sign and place my seal near there?
NO! No matter what state you are in all notarial acts must be evidenced by a proper certificate specific to your state and the document presented. There is no universal notary language that can be used for every situation.

As we have said before, the state of Oregon has an excellent website for notaries. If you would like to see their Frequently Asked Questions please follow this link.
